Required procedures for your overseas travel

When you plan your overseas travel outside Japan, please prepare the following documents according to the following instructions, and submit them well before the deadline.
Please consult with your supervisor when you fill the form.

◆ Overseas travel for study, field work and conference ◆

Overseas travel with field activity DOCX

1. Application for overseas study trip (学術調査等のための海外渡航申請書)
Submit the form no later than 1 week prior to your departure, to the Support Team, Academic Affairs Division. If your period of absence exceeds 2 months, you have to submit it more than 2 month prior to your departure, as is requires approval of the Committee of the Academic Affairs.

2. GAS Application of overseas travel plan B (農学国際専攻海外渡航計画書B)
Submit the forms no later than 2 week prior to your departure, to the Support Team, Academic Affairs Division.

3. Safety management plan of overseas field activity (海外野外活動安全衛生管理計画書)
Your supervisor must submit "Safety management plan of overseas field activity (海外野外活動安全衛生管理計画書)" and a photocopy of "Application of overseas travel plan -Dept. of Global Agricultural Sciences-" to both the Support Team, Academic Affairs Division and Safety Management Office, no later than 2 week prior to your departure.

4. Notification of return from overseas study trip
Submit the form soon after you returned from the overseas travel, to the Support Team, Academic Affairs Division.

※ "Field Activity" includes all types of activities such as fieldwork, field observation, research and observation that include activities outdoors such as, surveys using observation boats, field practice for students, etc.

Overseas travel without field activity DOCX

1. Application for overseas study trip (学術調査等のための海外渡航申請書)
Submit the form no later than 1 week prior to your departure, to the Support Team, Academic Affairs Division. If your period of absence exceeds 2 months, you have to submit it more than 2 month prior to your departure, as is requires approval of the Committee of the Academic Affairs.

2. GAS Application of overseas travel plan A (農学国際専攻海外渡航計画書A)
Submit the forms no later than 1 week prior to your departure, to the Support Team, Academic Affairs Division.

3. Notification of return from overseas study trip
Submit the form soon after you returned from the overseas travel, to the Support Team, Academic Affairs Division.

◆ Overseas travel for personal sightseeing and temporal return home ◆ DOCX

1. Notification of Overseas visit or/ Temporary visit to home country
Submit the form no later than a day prior to your departure, to the Support Team, Academic Affairs Division.

2. Notification of Re-entry / Return
Submit the form soon after you returned from the overseas travel, to the Support Team, Academic Affairs Division.


How to set up automatic forwarding of ECCS Cloud Email

Here's how to forward the ECCS Cloud Email (10-digit common ID@g.ecc.u-tokyo.ac.jp and xxxxx@g.ecc.u-tokyo.ac.jp [xxxxx is the local part you choose]) to other e-mail addresses.

1. To enable ECCS Cloud Email, please refer to "How to use ECCS Cloud Email - Initial settings etc." of ECCS.

2. Enter your email address and password for ECCS Cloud Email in the regular Gmail login interface (mail.google.com) or ECCS Cloud Email login interface.

3. Confirm that the logo in the upper right corner is ECCS (①).
Click the Settings (gear symbol, ②).

 4. Click "See all settings". (③)

5. Select "Forwarding and POP/IMAP". (④)

6. Press "Add a forwarding address" (⑤) and enter a new forwarding email address, and click "next".

7. Confirm the email address and click "Proceed", and "OK".

8. You will receive an email titled "Forwarding Confirmation" by ECCS and  9-digit Confirmation code in it.

9. Enter the 9-digit Confirmation code (⑥) and click "Verify".

10. Select "Forward a copy of incoming mail to (your email address)" and "keep, mark, archive, delete" option. (⑦)

11. Click "Save Changes" button. (⑧)

That's all you have to do to set up forwarding.
All email to Your ECCS Cloud Email account will be forwarded.
